About this policy
NK One HR Solutions ("NK One", "we", "us") runs this website. We understand that the people who contact us trust us with their details, and we are committed to protecting them.
This policy covers the information collected through this website, mainly through its enquiry form. It sets out what we collect, why, whom we share it with, how we protect it and what you can ask us to do with it. Under the Digital Personal Data Protection Act, 2023, NK One is the Data Fiduciary for this information and you are the Data Principal.
If you become a client, the information you share with us for the work itself is also covered by the agreement for that engagement. Please read this policy with our Terms and Conditions.
Information we collect
When you send an enquiry, the form asks for these details. The page you sent it from is added automatically.
| Detail | Why we ask |
|---|---|
| Your name | So we know whom to ask for when we reply. |
| Phone or WhatsApp number | So we can call or message you back. |
| Email address | So we can reply in writing and send you documents you ask for. |
| Company | So we know which business the enquiry is about. |
| State | Labour laws, Professional Tax and other rules differ from state to state, so this shapes our reply. |
| The service you need | So we know what you are asking about. You can choose "Not sure yet". |
| Number of employees, as a range | Headcount decides which laws apply to an employer, so it shapes our reply. |
| The page you sent it from | Added automatically, so we know which page you were reading. |
We also note the date and time your enquiry arrived. If you call, email or message us on WhatsApp, we receive whatever you choose to share in that conversation. The form does not ask for identity documents, bank details or details about your employees.
Two hidden checks run with the form to stop automated spam: an empty field that only bots fill in, and a timed code our server issues when the form loads. Neither holds any information about you.
This website is meant for employers and their staff. It is not meant for anyone below 18, and we do not knowingly collect their details.
How we use your information
We use the details you send us to:
- Reply to your enquiry: call, message or email you about the services you asked about.
- Prepare a proposal: understand your company, state and headcount well enough to quote for the work.
- Keep the website working: block spam and misuse of the enquiry form.
- Meet legal duties: keep records or share information where a law or a lawful order requires it.
We send marketing messages only to people who have agreed to receive them, and you can ask us to stop at any time. We do not use your details to make automated decisions about you, and we will not use them for any other purpose without first asking for your consent.
Your choices and rights
You decide what to share with us. You may leave out details we ask for, though we may then be less able to answer your enquiry fully. The Digital Personal Data Protection Act, 2023 also gives you these rights:
- Access: a summary of the personal data we hold about you, what we do with it, and anyone we have shared it with (section 11).
- Correction and erasure: to have your details corrected, completed, updated or erased (section 12).
- Withdrawing consent: to withdraw your consent at any time, as easily as you gave it. This does not affect what we did before (section 6).
- Stopping marketing: to stop any marketing messages from us by replying to one or by writing to us.
- Grievance redressal: to have a complaint about how we handled your details dealt with by us (section 13).
- Nomination: to name someone who can use these rights for you if you die or cannot act yourself (section 14).
We may have to keep some information for longer where an Indian law requires it, and we will tell you if that applies to your request. We keep a record of each request we receive and what we did about it. The Act also asks you to give true information and not to impersonate anyone (section 15).
The Act's provisions are coming into force in stages, so each right applies from the date its provision takes effect.
How long we keep it
We keep an enquiry only for as long as we need it to answer you and follow up on it, or for longer where a law requires us to. After that we delete it. If you become a client, your details move into our client records and are kept for the period your engagement and the law require.
If you ask us to erase your details sooner, we will, unless a law requires us to keep them.
How we protect it
We take reasonable security measures, as Indian law expects of us, to keep your information safe:
- The website is served over HTTPS, so the form travels to our server encrypted.
- The mailbox that receives enquiries is password-protected, and only NK One staff can open it.
- Every submission is checked on our own server, which refuses links, code and repeated sending.
- If a breach ever affected your details, we would inform you and the Data Protection Board of India, as the Act requires.
No method of sending or storing information online is completely secure, but we work to protect your information and to fix any weakness we find.
Changes to this policy
We may update this policy from time to time, for example when we change how the website works or when the law changes. We will post the new version on this page and change the date at the top. If a change affects how we use details you have already given us, we will tell you before it applies.
Enforcing our policies
We may use the information we hold about your use of this website to look into and act on misuse of it, and to apply this policy and our Terms and Conditions.
Questions and complaints
To use any of your rights, or if you believe we have not followed this policy, email info@nkonehrsolutions.com with "Privacy request" in the subject, call +91 98457 40938, or write to our office at 1163, 9th Main, 11th A Cross, Nagapura, Mahalakshmipuram, near Rajajinagar Metro Station, Rajajinagar 1st Block, Bengaluru, Karnataka 560086.
Please describe your request or concern in as much detail as you can, with the phone number or company name you gave us so that we can find your enquiry. We may ask you to confirm who you are before we act, so that your details are not given to someone else. We will look into every complaint promptly.
If our answer to a grievance does not settle it, you can complain to the Data Protection Board of India. The Act asks you to raise the grievance with us first (section 13).
The laws we follow
NK One handles personal information in line with Indian law, including:
- The Information Technology Act, 2000
- The Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011
- The Digital Personal Data Protection Act, 2023, as its provisions come into force
This policy is effective from 17 October 2026.
